HealthSpark Foundation is a private, independent foundation whose mission is to achieve healthy, equitable, and hopeful communities throughout Montgomery County, PA. Position Summary:

The Administrative Coordinator is responsible for providing support to ensure the efficient operation of the foundation and to assist other staff members with the completion of tasks. The Administrative Coordinator reports to the President and CEO. 

Major Duties and Responsibilities: 

  • Office management: Oversee administrative functions of the office, including managing office supplies and responding to queries.
  • Communication: Support external communications, including content development, social media, and website support.
  • Event coordination: Assist with planning and coordinating internal and external events, including board and community meetings, and conferences, including off-site booking and logistics, attendee registration, and coordination of attendees and speakers.
  • Financial and grant administration support: Assist with processing invoices and documentation related to invoices, contracts, and grants.
  • Property management: Serve as the main point of contact for the building management company, building and tenant issues, and emergencies.
  • Team support: Provide general administrative support to staff and board members, such as preparing for meetings, managing food and catering, taking notes, and following up on action items. 

Other job functions may be assigned or changed by the foundation. The general and specific responsibilities and requirements of the Administrative Coordinator may also change periodically. 

Qualifications and Skills: 

  • Strong communication, collaboration, and project management skills
  • BA/BS degree, or an equivalent level of hands-on experience
  • Facility with database management systems, Microsoft Outlook, PowerPoint, Word, and Excel, and willingness to learn new platforms and applications
  • Agility, and comfort with ambiguity, and ability to quickly pivot and thrive in a fluid environment; ability to work both independently and collaboratively within a team
  • Willingness to learn and take on new tasks and responsibilities
  • Flexibility in scheduling for periodic night or weekend meetings, events, as well as occasional overnight travel
  • Strong planning and organizational skills with high attention to detail, accuracy, protocols, and deadlines; ability to manage and complete multiple projects, trouble-shoot, establish and act upon organizational priorities while meeting short- and long-term deadlines with a variable workload
  • Commitment to social and racial justice and to supporting a diverse, equitable, and inclusive organization
  • Valid driver’s license and insurance for site visits and meetings
  • Ability to manage confidential information with discretion

Salary and Benefits:

  • Salary Range: The range for the position is $75,000- 85,000
  • Benefits: Employer pays 100% of premiums for health and dental benefits and 75% of premiums for spouses and children. Employer pays 100% of life and disability insurance. 18 days PTO, 11 paid holidays plus paid vacation the days between Christmas and New Year’s Day.
  • Location: This position may be fully on-site or hybrid on-site/remote. If hybrid, the employee will be expected to be present in the office on Mondays through Wednesdays, unless other arrangements are approved by the CEO.
  • FLSA Status: Exempt
